1. Agreement
These terms are an agreement between you and [Company legal name], the operator of DocuVault. You accept them when you confirm your acceptance in the app. If you do not agree, do not use the service.
Our Privacy Policy, Refund Policy and Cookie Policy explain how we handle your data, payments and cookies, and form part of this agreement.
2. Who can use the service
You must be at least 18 years old and legally able to enter into a binding contract. Accounts are personal: do not share your sign-in with anyone else. Parents and guardians can add children to a household as People, but children cannot have their own accounts.
3. What the service does, and its limits
DocuVault lets you store documents, read their details with AI, organize them by person and category, share them securely, and receive reminders before they expire, and ask questions about them.
- Details read by AI can be wrong. You are responsible for checking them, especially expiry dates, before you rely on them.
- Answers in Ask are generated by AI from the documents you can see. They can be wrong or incomplete and are not legal, immigration or other professional advice. Check the original document, and official sources for procedures, before relying on them.
- Reminders are a convenience, not a guarantee. They depend on correct dates and on email delivery. You remain responsible for renewing your documents on time.
- Renewal tips are general guidance and can go out of date. They are not legal or immigration advice. Always check the requirements with the issuing authority.
- The service is not an official or government record and does not replace your original documents.
4. Your account and security
You sign in with a one-time code sent to your email, or with the Google account that uses the same email, so anyone who controls that email or Google account can control your account. Keep them secure, sign out devices you no longer use, and tell us straight away if you suspect someone else has accessed your account.
5. Households, roles and sharing
A household has one owner. The owner manages members, roles, billing and household settings, always sees every document, and can see the activity log, which shows who viewed, downloaded, shared or changed documents and from which IP address. Admins can upload, edit and share the documents they can see. Members can only view and download the documents shared with them.
The owner can hand the household to another member. It changes hands only if that member accepts. For a paid household, the new owner pays for the plan from then on, and the previous owner is refunded the unused part of the period they paid for.
The owner is responsible for the people they invite and the access they give them. Documents belong to the household: when someone leaves or is removed, they lose access to its documents, and the documents they added stay with the household.
Anyone who receives a share link can view that document until the link expires, reaches its view limit or is revoked, so share links carefully.
6. Your content
You keep all rights to the documents and information you add. You give us permission to store, process and display them only as needed to provide the service to you and the people you choose.
You confirm that you have the right to store every document you upload: your own; your children’s, as their parent or legal guardian; and other people’s only with their permission or other lawful authority.
We own the service, its software and the DocuVault name. We give you a personal, non-exclusive, non-transferable right to use the service under these terms.
7. Acceptable use
You agree not to:
- upload forged, altered or fraudulent documents, or use the service for any unlawful purpose;
- store documents of people without their permission or other lawful authority;
- try to access other households’ data, or test, probe or bypass our security;
- copy, scrape, overload, disrupt or reverse engineer the service, or upload malware;
- resell the service or use it to provide a service to others without our written agreement.
8. Plans, billing and renewal
- Some features need a paid plan. Before you pay, you see the price, the billing period, and whether taxes are added. Prices are in US dollars, and your bank may charge a currency conversion fee.
- Paid plans are billed in advance, monthly or yearly, through our payment processor Stripe, and renew automatically at the same interval until you cancel.
- A household’s owner can change or cancel its plan at any time, from Plan & billing in the app. When you cancel, you keep your plan until the end of the period you have paid for and are not charged again. You can move to a lower paid plan only when the household fits within that plan’s limits.
- Refunds are covered by our Refund Policy.
- If we change a price, we will tell you at least 30 days before it applies to your next renewal, so you can cancel first if you prefer.
- If a renewal payment fails, we tell you, and our payment processor tries again over the following days. If it still fails, the plan ends.
- We sometimes offer a discount for a limited time. Before you pay, you see how much it is, which plans it covers, when the offer ends, and how long you keep it: your first payment, a set number of months, or for as long as you stay subscribed. If you change plan or billing period, the discount continues for as long as it applies.
Each owner can have one household on the Free plan, and own up to 4 households in all.
A household without a plan it can use is locked. That happens when it has no paid plan and either its owner’s free plan is used by another household, or it holds more than the Free plan allows. While it is locked, its owner can only export it, delete it, or remove members, people and documents to get back within the Free plan. Nothing in it can be opened, its share links stop working and its expiry reminders stop. It unlocks as soon as it has a plan again, or fits within the Free plan. Before a cancelled plan ends, we tell the owner if the household will be locked, and we tell them again when it is.
We may delete a household, with its documents, if it stays locked for more than a month. We don’t have to, and when a household is locked we tell its owner by email the date after which it may be deleted. Export the household if you want to keep a copy.
9. Monthly allowances and fair use
- Each plan includes a number of Ask questions and of pages read by AI per household each month, shown with the plan and on Plan & billing. Allowances renew on the first day of each month (UTC). Unused amounts do not carry over.
- “Unlimited documents” means we do not limit how many documents you keep within your plan’s storage. Documents you upload after the month’s reading allowance is used are stored safely and read when it renews, or you can fill in their details yourself.
- Allowances exist so a few very heavy uses cannot slow the service down or raise prices for everyone. We may limit automated or clearly excessive use that goes beyond normal household use.
10. Availability and changes
We work to keep the service available and secure, but we cannot promise it will always be uninterrupted or error-free, and we may need to pause it for maintenance.
We may change or remove features. We will give you reasonable notice of significant changes. If a change significantly reduces what you have paid for, you can cancel and we will refund the unused part of your current paid period. If we ever stop the service, we will give you reasonable time to export your data and refund any unused paid period.
11. Ending the agreement
You can stop using the service at any time, and delete your account from Settings once you have handed over or deleted every household you own. What happens to your data and to any subscription is explained in our Privacy Policy and Refund Policy.
We may suspend or close an account that seriously or repeatedly breaks these terms, puts others at risk, or where the law requires us to. Unless the law or a risk of harm prevents it, we will tell you first, explain why, and give you a reasonable chance to export your data.
12. Liability
We provide the service with reasonable skill and care. Beyond that, and to the extent the law allows, the service is provided “as is”.
To the extent the law allows, we are not liable for indirect or consequential losses, or for losses that were not reasonably foreseeable. Because you are responsible for checking document details and renewal dates, we are not liable for fines, penalties, delays or lost opportunities that result from details you did not check or from relying on reminders alone.
To the extent the law allows, our total liability to you for all claims is limited to the greater of the amount you paid us in the 12 months before the claim, or USD 50.
These limits do not apply to liability for fraud, gross negligence or wilful misconduct, for death or personal injury caused by our negligence, or to any other liability that cannot be limited by law. They do not take away any rights you have under the consumer-protection or data-protection laws of your country.
13. Changes to these terms
We may update these terms, for example to reflect changes to the service or the law. For material changes, we will tell you in advance and ask you to accept the new version before you continue using the service.
If you do not accept the new version, you can export your data and close your account, and we will refund the unused part of any paid period.
14. Governing law and disputes
These terms are governed by the laws of [country or emirate], and its courts will settle any dispute. This does not affect any mandatory right you have to bring a claim in, or to rely on the consumer-protection or data-protection laws of, your country of residence.

15. General
- Language: these terms are available in Arabic and English, and both versions have the same meaning. If they differ, the version in the language you used when you accepted them applies, unless the law of your country requires otherwise.
- Notices: we will contact you by email at the address on your account or in the app.
- Transfer: we may transfer this agreement to a company that takes over the service, provided your rights are not reduced, and we will tell you if this happens. You may not transfer your account to someone else.
- If a court finds part of these terms invalid, the rest stays in force. If we do not enforce a right straight away, we can still enforce it later.
- These terms and the policies they refer to are the whole agreement between you and us about the service.
